Students who have applied for extension of stay through the 2017 Fall semester should carefully note the following:
1. Date of Notification of Approval/Disapproval of Extension of Stay
On Wednesday, May 31, you will receive a notification of the approval/disapproval of your extension application via e-mail.
2. General Deposit of 10,000yen
For students whose extension is approved, the general deposit of JPY10,000 will be carried over to the fall semester. Your deposit will be refunded to you at the end of your next semester of stay when you meet all the necessary requirements.
3. Unofficial Transcript
Your grades will be available through K-GENESYS sometime in the middle of June.
4. Computer Access
If your extension application is approved, your current user ID and password will be kept till the end of the Fall 2017 semester. However, the connection of personally owned computers to KGU network will be once disconnected after June 1, 2017. In order for your laptop to be connected to KGU network, you are required to re-register your computer during the orientation period for the 2017 fall semester.
5. Seminar House: Luggage and Check-in Procedures
Storing your luggage in the Seminar House during the Summer Break
Those who have been accepted for admission to the fall semester may leave their luggage at the Seminar House(maximum of 3 pieces). If you wish to keep your luggage in the storage room, please talk to the caretaker if you are a seminar house resident, or if you are a non-seminar house resident, please e-mail firstname.lastname@example.org by May 22 and necessary instructions will be given. Please note that you will have no access to your luggage in the storage room until August 25, 2017.
Check- in for the Orientation Period
Seminar House accommodations will become available for both extension and new students starting from Friday, August 25 through Sunday, September 3 free of charge. If you have requested on-campus accommodations during the orientation period on your extension application form, please report to the Seminar House directly and the caretakers will check you in. Please remember that during the orientation period, the number of residents will be well above the normal capacity.
Further notice will be given to you to those who have requested on-campus acoomodation for the fall semester.
6. Re-entry into Japan [IMPORTANT]
If you are planning to make an overseas trip (including returning to your home country) and coming back to Japan, be sure to tick "Departure with Special Re-entry Permission" on the Embarkation Card for Reentrant section when you submit the ED card at the port of departure. For more information, please refer to the "Immigration: Re-Entry" section on the student handbook page:
7. Airport Pick-up Service
Although we do not provide pick-up service for extension students, students may take advantage of the service only when seats are available at the cost of 5,000yen (Reservation not available).
However, we strongly recommend that you make own travel arrangements for coming back to Hirakata next semester.
Students who currently live in the Seminar House and intend to leave their bicycle at Seminar House during the Summer break must obtain an "Extension 「延」 sticker" for their bicycles. Unless you have the "extension sticker," you will not be able to park your bicycle at the Seminar House. The "extension sticker" will be obtainable from at each Seminar House for those students who currently live in the Seminar House(Available after May 9). Please note that if you do not have an "Extension sticker" by June 1, we will dispose your bicycle.
Please note that each student is allowed to leave ONLY ONE bicycle at the Seminar House.
If you do not currently have a bicycle and plan on purchasing or obtaining a bicycle from a terminating student, you should take the bicycle to the bike shop where the former owner purchased it, with his/her bike registration form (the guarantee certificate) and your ID and ask the shop to change the ownership and crime prevention registration of the bicycle. If you do not do so, when the police check the bicycle, you will be considered owning a stolen bicycle and will be in serious trouble.
Make sure that the former owner cancelled the bicycle registration at the CIE (the student must remove the yellow registration sticker and submit it to the CIE). Then, you must submit a copy of the bike registration form (the guarantee certificate) to the CIE in order to obtain a new registration sticker from the CIE.

9. Fall Semester Orientation Schedule and Registration
Students are not expected to participate in the fall semester orientation. However, it will be your responsibility to complete necessary payments and registration for the fall semester between Friday, August 25 and Wednesday, August 30. You may NOT ask your friends to register for you. Further information regarding the orientation details will be posted on Kansai Gaidai ASP website in the beginning of August.
