STEP 1: LOG-IN INFORMATION
Each institution has been assigned one User ID and password. Please share the information with your staff members in charge of outbound students to Kansai Gaidai. The password cannot be changed. If you have any questions about your User ID and/or Password, please contact us at [ email@example.com ].
STEP 2: CONTACT INFORMATION UPDATE (EXTREMELY IMPORTANT)
It is extremely important that the Contact Information is updated as soon as you have any changes in personnel, for it is used for our communication. Unless your information is registered with our system, you may not nominate any students. Instructions are available after log-in.
STEP 3: NOMINATION OF YOUR STUDENTS
Nomination of your students should be done through the GAIDAI-LINK. Once your nomination is received, an e-mail message will be sent to each nominated student. If, for any reason, your nomination cannot be accepted, you will receive an e-mail notice from us. Otherwise, please check on your student application status via GAIDAI-LINK.
STEP 4: STUDENTS’ ACCESS TO GAIDAI-LINK
Officially nominated students will receive their User IDs and passwords via e-mail directly from us. With this information, they are able to access GAIDAI-LINK to begin their online application procedures.
STEP 5: STUDENTS’COMPLETION OF ON-LINE APPLICATION
Officially nominated students must complete the application procedures as follows:
- Complete both the “ONLINE APPLICATION” and “DOWNLOAD FORMS” sections on the GAIDAI-LINK site.
- Application Deadlines:
For fall enrollment: January 10 – May 15
For spring enrollment: August 1 – November 1
STEP 6: PROGRESS REPORT
Once students submit any application documents to Kansai Gaidai, applicants as well as their home institutions’ exchange coordinators can check on the progress via GAIDAI-LNK on the following items:
Status of application documents (e.g., missing items)
Status of admission review
STEP 7: ADMISSION NOTICE
Admission decisions will be notified on a rolling basis. Admitted students will receive an e-mail acceptance message and the link to pre-arrival information. Admission notices will be sent to your students only. Exchange coordinators are asked to check on the admission status via GAIDAI-LINK.
STEP 8: CONFIRMATION OF PARTICIPATION BY STUDENT
Admitted students are expected to confirm their participation via GAIDIA-LINK by completing the following on-line forms:
- Address Form
- Housing Questionnaire
- Arrival Information Form
It is important that 1&2 above are completed as soon as possible to avoid any delay in admission/immigration arrangements.
STEP 9: ENTRY ARRANGEMENTS
Kansai Gaidai will apply for Certificates of Eligibility (COE) on behalf of admitted students. The status of immigration procedures can also be checked on GAIDAI-LINK by the students and exchange coordinators.

System maintenance is conducted daily between 5:00 am and 6:00 am (JST). No access or data submission can be done during this period.
